The General Admin serves as a central support function within the organization, ensuring operational efficiency across documentation, finance coordination, and office management. This role bridges internal teams, external partners, and service providers to maintain organized processes, accurate records, and seamless day-to-day operations. The position requires strong attention to detail, proactive follow-up, and the ability to manage multiple administrative responsibilities effectively.

Responsibilities:
   Operations & Sales Documentation
  • Prepare and issue quotations (QO) and delivery documents.
  • Prepare and manage contract documents (e.g., MA, NDA) based on company templates.
  • Track Purchase Orders (PO), document sign-offs, and contract expiration dates.
  • Maintain accurate records of commercial documents and ensure proper filing.
   Basic Accounting Coordination
  • Collect and organize expense documents and supporting materials.
  • Submit financial documents to internal accounting or outsourced accounting partners.
  • Track payment status (accounts payable and receivable).
  • Prepare and organize required documents for audit purposes.
   Office Administration
  • Coordinate with vendors, building management, and service providers (e.g., cleaning services).
  • Oversee office supplies and basic IT equipment administration.
  • Manage renewals of service contracts and subscriptions.
  • Ensure smooth day-to-day office operations.

Qualifications:
  • Bachelor’s degree in Business Administration, Accounting, or related field (preferred).
  • 1-3 years of experience in administrative, operations, or accounting support roles.
  • Strong organizational and documentation skills.
  • Basic understanding of accounting processes and financial documentation.
  • Proficiency in Microsoft Office / Google Workspace.
  • Detail-oriented, responsible, and able to manage multiple tasks.
